About This Policy

This privacy policy explains how Off The Ground Agency ("we", "us", "our") collects, uses, and protects personal information through our website (offtheground.agency) and our civic technology platforms: SpendWatch, RecallAU, MedWatch, RentSmart, and AviCheck. We are committed to protecting your privacy in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy covers the parent agency site and the public-data portfolio. Commercial products may carry product-specific privacy notices and terms where different data handling applies.

Information We Collect

Off The Ground Agency is designed to minimise personal data collection across all our platforms. We collect personal information only when you voluntarily provide it through our contact forms.

Contact form submissions (across all platforms):

  • Your name
  • Your email address
  • Your message content

None of the public-data platforms require user accounts. We do not collect information from third-party sources for the agency site or the public-data products. All government data displayed across those platforms is sourced from publicly available datasets and does not contain personal information except where official registers already publish public names, such as the CASA Aircraft Register.

How We Use Your Information

In accordance with APP 6, we only use personal information for the purpose for which it was collected:

  • To respond to your enquiry submitted via a contact form
  • To send you a confirmation email acknowledging your message

We do not use your personal information for marketing purposes. We do not sell, rent, or trade your personal information to third parties. Contact form submissions from all platforms are routed to the same central mailbox.

Cookies and Tracking

Our platforms use only essential cookies required for the websites to function. We do not use advertising cookies, social media tracking pixels, or third-party analytics cookies that collect personal information. No personally identifiable information is stored in cookies on any of our platforms.

Data Storage and Security

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, as required by APP 11.

Hosting

Our sites are delivered over HTTPS through Vercel and related data services configured per product. Transport is encrypted with TLS.

Email Processing

Contact form submissions across all platforms are processed through Mailgun via mg.offtheground.agency. Mailgun processes your name, email address, and message content solely for the purpose of delivering your enquiry and the confirmation reply.

Database (RecallAU only)

RecallAU uses Supabase for storing publicly available recall data. No personal user data is stored in this database.

Disclosure of Personal Information

In accordance with APP 8, we note that personal information submitted through contact forms may be processed by Mailgun, whose servers may be located outside Australia. We do not otherwise disclose your personal information to overseas recipients. We will not disclose your information to any other third party unless required by law or with your consent.

Your Rights Under the Privacy Act

Under the Australian Privacy Principles, you have the right to:

  • Access (APP 12) — Request access to the personal information we hold about you
  • Correction (APP 13) — Request correction of any inaccurate, out-of-date, incomplete, or misleading personal information
  • Complaint — Lodge a complaint if you believe your privacy has been breached

Complaints

If you are not satisfied with our response to a privacy complaint, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
